What is the Scanner?
The Scanner is our most powerful tool for streamlined check-in.
You can text a scanner link to your check-in volunteers from our platform. By clicking this link, volunteers can transform their phones into mobile ticket scanners! Attendees will have their tickets ready to scan when they arrive at check-in. Your volunteers can scan the ticket by holding their camera over the QR code shown on the attendee's phone.
Not only can volunteers help with check-in, but they can also re-assign tickets, edit options on tickets (meal choices, etc.), and update attendee profile information.
In short, volunteers can:
- Scan QR Codes
- Search guest names for manual check-in
- Provide table and paddle information
- Edit account information
- Re-assign tickets
The Scanner is a simple tool! All you need is a phone, an Event.Gives account, a handful of volunteers, and 10 minutes for training.
Do you need to buy scanning devices to use it?
As an Event Organizer, you might worry about renting or buying tech devices for your check-in process. With Event.Gives, there's no need to stress. Our scanning device already lives on your phone! Event Organizers can allow volunteers to check in guests using their mobile devices.
We simplify this process - all you have to do is send a text from the manager portal. Your message goes straight to your volunteer's cell phone! Our 'Send Scanner Link' capability works by typing in a volunteer or staff member's phone number.
Will my donors be able to use this feature?
The Event.Gives Scanner allows guests to scan QR codes (found on tickets), search names for manual check-in, provide table/paddle information, edit account information, and even re-assign tickets to other guests.
Once you send the Scanner link to a volunteer or staff member, navigate to the "Event Settings" tab to adjust their access level to Supervisor. Supervisors have permission to edit essential information, such as guest phone numbers or email addresses.
Supervisors can access:
- First Name
- Last Name
- Paddle Number
- Phone Number
- Email Address
If not, they will be added as a Viewer. Viewers can still check in guests and edit basic information but can't access other account changes.

Even though scanners are the most efficient way to manage check-in, having a backup plan is never a bad idea. Computers are your second line of defense! The number of scanners and computers depends on your total attendance and other mitigating circumstances.
